Know what every machine is doing, costing and earning

Track owned and hired plant across sites with digital log sheets and telematics. Schedule services by engine hours, catch fuel losses and charge every machine-hour to the right project, so you can see which machines earn their keep and which to move, sell or rent.

A day in the life

Where one excavator's 24 hours go

From telematics and the operator's log sheet: working, idling, travelling and switched off. Hover the legend to pick out each part. Example day.

  • Working8.25 h
  • Idling, engine on2.25 h
  • Travelling0.5 h
  • Switched off13 h

2.25 hours of idling a day burns roughly 9 litres of diesel at an idle burn of 4 L/h (example), with nothing to show for it.

Hours used out of 2,000 available a year. Move the owning threshold to see how the advice changes; many fleets use 60–65%. Example fleet.

Preventive maintenance

Services raised by the hour meter

The engine-hour meter runs from log sheets or telematics. As each service interval comes up, a work order is raised with its checklist. Typical intervals; always follow your OEM manual.

Fuel issued against fuel earned

Each machine's logged hours × its normal burn rate gives the fuel it should have used. Bars above the allowed variance are flagged. Example month.

Transfers

Machines move to where the work is

Idle at one site, needed at another: every move gets a transfer note, so you always know where each machine is and which project pays for it.

    FAQ

    Equipment and plant questions

Answers for plant, project and finance teams.

What is equipment and plant management in construction?

It's how a contractor tracks, maintains, costs and deploys machines like excavators, cranes, loaders, mixers and DG sets across sites, whether owned or hired. The aim is high utilisation, low downtime and every machine-hour charged to the right project.

How do you calculate equipment utilisation?

Utilisation is hours used divided by hours available. Many fleets use about 2,000 available hours a year per machine, so a machine that works 1,200 hours is at 60%. Track it per machine, not as a fleet average.

When is it cheaper to own a machine than to rent it?

A common rule of thumb is that owning wins once a machine is used about 60–65% of the time, roughly 150 working days a year. Below that, renting is usually cheaper, because owning costs, often 20–30% of the purchase price a year, keep running whether the machine works or not.

How is cost per hour worked out?

Add the yearly owning costs (depreciation, interest, insurance) and operating costs (fuel, operator, maintenance), then divide by the hours the machine actually works in a year. Compare the result with the market hire rate for the same class of machine.

How does preventive maintenance by engine hours work?

Each model has service intervals set by its maker, commonly every 250, 500, 1,000 and 2,000 hours. The ERP reads engine hours from log sheets or telematics and raises the service before it's overdue. Always follow your OEM manual.

Can it detect fuel theft or leaks?

It compares fuel issued with the fuel each machine should have used for its logged hours at its normal burn rate. Machines that draw much more than expected are flagged for checking.

Can it connect to telematics and GPS?

Yes. Engine hours, location, idle time and fault codes can be pulled from OEM telematics or GPS devices through APIs, so log sheets need less manual entry.

How are machine costs charged to projects?

Owned machines are charged at an internal hourly or daily rate for the hours logged on each project. Hired machines are booked against the hire work order and the vendor's bill.

How long does it take to set up?

Usually 6 to 10 weeks, depending on fleet size, sites and telematics integrations. This is an estimate.
