📦 Construction ERP · Material and procurement

Every bag, bar and brick, from indent to the slab

Site teams raise indents, purchase compares quotes and issues POs, stores receive and issue against BOQ items, and every month the system checks what the site used against what the work should have needed. Material spend stays on budget on every site.

Nine steps from site request to reconciled stock

Follow one cement indent as you scroll. Each step is a single screen in the app, and the line fills as the material moves.

  1. Indent

The site engineer raises an indent against a BOQ item, with quantity, need-by date and photos.

    IND-2041 · Cement 400 bags
  2. Approval

The system checks the BOQ budget and site stock before the project manager approves.

    Budget left: 1,240 bags
  3. RFQ

Purchase sends a request for quotation to approved vendors in one click.

    RFQ to 3 vendors
  4. Comparative statement

Quotes line up side by side with rate, delivery, credit and past performance.

    Best value: vendor C
  5. Purchase order

A PO is raised on the chosen quote or an existing rate contract.

    PO-7716 · ₹1,55,600
  6. Gate entry and GRN

Security logs the vehicle; stores check quantity and quality and post the GRN.

    GRN · 400 bags received
  7. Issue to work

Material is issued to the activity or subcontractor that uses it.

    Issued to slab, 3rd floor
  8. Three-way match

The invoice is matched to the PO and GRN before it can be paid.

    PO = GRN = invoice
  9. Reconciliation

Every month, actual use is compared with what the work done should have needed.

Stock levels that reorder themselves

Each tank is one material at one site. As the site uses it, stock falls; below the dashed reorder line an indent is raised and the delivery tops it up. Example levels.

Material reconciliation

Did the site use what the work needed?

Compare theoretical consumption from the work done with what stores actually issued. Anything above the permissible wastage can be recovered. Use your own figures.

The 3% permissible wastage is an example from a common reconciliation template. Use the limit in your own contract or specification.

FAQ

Material and procurement questions

Answers for site, purchase and finance teams.

What is material management in construction?

It's how a contractor plans, buys, receives, stores, issues and accounts for materials like cement, steel, sand and bricks across sites. Done well, material arrives before the work needs it and every bag can be traced from purchase to the part of the building it went into.

What is an indent?

An indent, or material requisition, is a request raised by the site for material it needs, usually with quantity, specification and the date it's needed. In the ERP it's raised against a BOQ item so it can be checked against budget and stock.

What is a comparative statement?

A comparative statement lists vendor quotes side by side: rate, taxes, freight, delivery time, payment terms and past performance. It shows why a vendor was chosen, which matters for audits and for getting the best value, not just the lowest price.

How does material reconciliation work?

For each material, the system works out theoretical consumption from the work done and standard consumption factors, then compares it with what stores actually issued, net of returns. The difference is checked against the permissible wastage limit.

What is permissible wastage?

It's the extra consumption a contract allows over theoretical use, for cutting, spillage and handling. It varies by material, contract and specification; a 3% limit for cement appears in some reconciliation templates, but you should use the limit in your own contract.

Can we recover excess wastage from subcontractors?

Yes. Excess consumption beyond the limit is valued at the agreed rate and can be raised as a debit note and deducted from the subcontractor's next running bill.

Does it handle both central and site purchasing?

Yes. You can buy centrally on rate contracts, let sites buy small items within limits, or mix both, with approval rules by value and material.

Can site teams use it on a phone?

Yes. Indents, gate entry, GRN with photos and material issues can all be done in the site app, including offline with sync.

How long does it take to set up?

Usually 6 to 10 weeks, depending on the number of sites, vendors and integrations. This is an estimate.
