Hospital rosters that follow the patients in the beds

Work out nurses from each patient's care needs, build rosters for any shift pattern within the labour rules, cover sick calls from the right people and keep every licence in date. Approved hours and overtime go straight to payroll.

How many nurses does this mix of patients need?

Count your patients by how much care they need. The system turns their care hours into nurses on duty and full-time nurses to employ, using the working days each nurse has after weekly offs, leave and holidays.

Care hours a day—
Nurses on duty at any time—
Patients per nurse on duty—
Full-time nurses to employ—

Nurses to employ = care hours a day × 365 ÷ (working days a year × 8 hours). Working days a year: 250. The example care hours (2, 4, 6 and 10 a day) follow a CAHO staffing workshop; your nursing team sets its own.

Choose a shift pattern and see what it means for every nurse

Compare the three patterns Indian hospitals use most. The ribbon shows one day; the grid shows how a team of eight rotates over four weeks, every one of them on a 48-hour week.

        • Resident doctorsNo more than 12 hours at a stretch and 48 a week, with a weekly day off (1992 guidelines, restated by the NMC in 2023).

        Attendance and overtime

From punch-in to payslip, with overtime counted the legal way

Face scans, fingerprint readers and the staff app record each punch, and the app only accepts punches inside the hospital's geofence. Change the minutes Lata stayed back after each shift and watch the overtime follow the rules.

        Punches this morning

        What it changes

Results nursing heads, HR and patients notice

What changes once staffing, rosters, attendance and staff files run on one system.

        Staffing that matches the patients

Nurses follow care needs, not last month's habits.

        Less overtime

Hours balanced before the week starts.

        Only qualified staff on shift

An expired licence blocks the roster before it fails an audit.

        Fairer nights and weekends

Rotations shared evenly, with a record of who did what.

        FAQ

        Staff and roster questions

Answers for nursing heads, HR managers and hospital owners.

What does staff and roster management cover in a hospital ERP?

Working out how many staff each unit needs, building duty rosters for nurses, doctors and support staff, covering sick calls and swaps, tracking licences and skills, recording attendance and sending approved hours and overtime to payroll, all from one staff record.

How does the system work out how many nurses we need?

It adds up the nursing care hours your patients need, level by level, then converts them into nurses on duty and full-time staff to employ: care hours a day × 365 ÷ (working days a year × 8 hours). Working days are what is left after weekly offs, leave and holidays, for example 250. The care hours for each level are set by your nursing team.

Which shift patterns can it roster?

Any pattern you use, including 6-6-12 (two 6-hour day shifts and a 12-hour night), three 8-hour shifts, 12-hour shifts, split shifts and on-call. Kerala's Labour Department applies the 6-6-12 system to all private hospital staff, whatever the hospital's size.

How are sick calls and swaps handled?

The open shift goes on the staff app only to people who are trained for the unit, rested, not on leave and under their weekly hours, with those who have done the least overtime offered it first. Swaps are checked against the same rules before the unit head approves them.

Does it follow the labour codes and duty-hour rules?

Yes. Under the labour codes in force since 21 November 2025, overtime beyond 48 hours a week is paid at twice the ordinary wage. The central rules notified in May 2026 count 15 to 30 extra minutes as half an hour, anything over 30 minutes as an hour, and cap overtime at 144 hours a quarter. States can set their own limits, so the rules are configurable. Resident doctors are rostered to the 12-hours-at-a-stretch and 48-hours-a-week limits.

How are licences and certificates tracked?

Each person's file holds their council registration, such as the nursing council's NUID or the doctor's National Medical Register ID, plus BLS, ACLS and unit competencies with expiry dates. Renewals are chased before they lapse, and the roster won't place anyone on a unit their credentials don't cover. NABH's 6th edition standards allow these personal files to be kept electronically.

Which attendance devices work with it?

Face-recognition terminals, fingerprint readers and the staff app, which only accepts punches inside the hospital's geofence. Punches are matched to the rostered shift, and late arrivals, missed punches and unplanned overtime go to the unit head before payroll.

Can doctors' on-call rotas and OPD slots come from the same roster?

Yes. Consultant and resident duty rosters drive the on-call list, the escalation ladder for urgent calls and the OPD slots patients can book, so a change to the roster updates all three.

        How long does implementation take?

Usually 6 to 10 weeks, depending on the number of units, shift patterns, attendance devices and payroll links. This is an estimate.
